Position Vacant – Administration Assistant (Part Time)

The Illawarra Turf Club

Located in the New South Wales region of Wollongong, the Illawarra Turf Club is the operator of thoroughbred racing venue and function centre, Kembla Grange Racecourse.  We are currently seeking a part time Administration Assistant.

This role will require you to be available to work race days.  The current racing schedule includes 33 meetings each year of which 22 are Saturdays.

Selection Criteria

Essential Criteria

  • Must be available to work 3 x weekdays 8am – 4pm or 4 x weekdays 8am - 2pm + Saturday Race Days approx. 8am – 6pm
  • Proficiency in office applications (word, excel, publisher).
  • Strong verbal and written communication skills.
  • Strong organisational skills.
  • Drivers licence and vehicle.

Desirable

  • Relevant experience or study
  • Knowledge of or experience within the thoroughbred racing industry

Job Description

  • Provide administrative support to ensure efficient operation of the office.
  • Carry out administrative duties such as record keeping, communicating to stakeholders, typing, copying and completing general errands.
  • Operate the race day office with duties including but not limited to assisting patrons, staff and industry participants, racing administration, ticket issuing and cash handling.
  • Support senior staff and team members as required with a focus on racing administration.
  • Assist with hospitality and function inquiries, bookings and payments.
  • Assist with OH&S record keeping and compliance.
  • Assisting to maintain the Clubs membership database.
  • Exhibit polite and professional communication during phone, email and in-person interactions.
  • Work independently including opening and closing office.

Details

The days you will be required to work will change depending on the racing schedule however these will be confirmed no less than 2 weeks in advance.

Non race day weeks will total 24 hours (3 weekdays at 8 hours – 8am – 4pm).  This will be the minimum weekly hours.

Weeks that include a Saturday race day will increase to approximately 34 hours.

Hours and days may increase further during carnival periods and to cover staff leave.

There will be a 3 month trial period.

Hourly rates will be paid in accordance with award wages.  Superannuation and leave entitlements apply to this position.
