Full-Time | Pakenham

Stokes Racing is seeking a highly organised and client-focused Client Relations & Administration Coordinator to deliver exceptional owner communication, efficient administration and strong support across racing operations, sales and digital content.

This role suits someone who thrives in a fast-paced racing environment, enjoys working with people, and takes pride in delivering professional, timely updates.

Key Responsibilities

Owner Communication & Client Experience

  • Provide regular updates on horse progress, racing plans and post-race summaries

  • Coordinate phone, email, SMS and CRM communication

  • Send videos, photos, trackwork reports and newsletters

  • Manage owner attendance for race days, stable visits and events

  • Maintain positive relationships and ensure prompt responses to owner enquiries

Administration & Racing Paperwork

  • Manage inbox, phone calls and daily communication flow

  • Prepare and lodge nominations, acceptances, gear changes, scratchings and stable returns

  • Maintain accurate horse records, compliance documentation and PRISM data

  • Process registrations, ownership transfers and syndicate documentation

  • Coordinate scheduling, reminders and administrative support for trainers and stable staff

Sales, Raceday & General Stable Support

  • Assist with sales preparation, catalogue notes, pedigrees and promotional materials

  • Liaise with bloodstock agents and prospective owners

  • Attend race meetings, represent the stable and host owners on course

  • Help with logistics, transport coordination and race day content

Social Media & Digital Content

  • Create and schedule content across social platforms

  • Capture photos and videos of horses and stable activities

  • Draft newsletters and assist with podcast planning/recording

  • Manage engagement, inquiries and content calendars

Skills & Experience

  • Strong verbal and written communication

  • Excellent relationship-building skills with a customer-focused mindset

  • Highly organised with strong attention to detail

  • Experience with CRM systems and racing administration is advantageous

  • Ability to manage deadlines in a fast-paced environment

  • Digital content creation experience (social media, newsletters, photo/video)

  • Racing industry knowledge beneficial but not essential
